For equipment dealers · 5 minute read

Why equipment dealers lose sales before the quote.

Your team can turn a quote around fast. The trouble is the hour or two before anyone sits down to write it. That’s where most sales are won or lost, and most dealers never see it happening.

Buyers shop around first

The quote is not the race. The first reply is.

Most buyers have looked at a few suppliers before they get in touch. The one that answers first, clearly and with real information, is often the one still standing. Watch the same request go out to three suppliers.

What these messages look like

Every one is a small window.

Equipment messages aren’t retail sales. They come with a deadline, a question and a drive attached. Switch between the usual reply and Nexi’s reply.

Three quotes before Friday

“We need pricing on a ducted air conditioning system for a new office fit-out, before our budget meeting Friday. Can you help?”
Next day, 10:15am
“Thanks for your enquiry. Someone will be in touch.”
CLEO · AI · 40 SECONDS LATER
Hi, I’m the AI assistant here. I can get you a proper quote before Friday. Roughly how big is the space, how many zones do you need, and is there existing ductwork? I’ll pass it to Josh in sales with everything ready.
Your salesperson starts with the job, not basic questions.

Is it in stock?

“Before I drive two hours, have you got a filter kit for my header in stock?”
Missed call · Saturday 7:05am
Rings out. He tries the next dealer on the list.
RINGO · AI · ANSWERS FIRST RING
Answers the call, says it’s an AI, takes the model and part, checks your stock list if you’ve shared it with Nexi, and books a pickup time. Otherwise it flags it for your parts team first thing.
Nexi only shares stock or prices when you’ve taught it to.

Specs and a price range

“Can you send a spec sheet and a rough price range for a combi oven? Then we’ll book a visit.”
Read Monday, 9:40am
Sits on the business phone until someone picks it up.
WINNIE · AI · STRAIGHT AWAY
Sends the spec sheet you’ve given it, asks how many covers they cook for, and offers a site-visit time. A price range is only shared if your business has told Nexi it can.
Every message lands in your CRM with a named owner.
It’s often not a people problem

Messages land where nobody is watching.

A good salesperson can’t answer a form at 9pm on a Sunday, or watch five places at once while running the floor. Drag the clock and see who is there to answer.

The research still holds up

Reply in the first hour, or you’re usually out of the running.

A well-known Harvard Business Review study by Oldroyd, McElheran and Elkington looked at how US companies handled web messages. It wasn’t about equipment dealers, but the pattern is the same: businesses that replied within the first hour were far more likely to have a real conversation with the buyer, and most companies took much too long. Many never replied at all. Read the study →

What closes the gap

Four things fix it. How many do you have?

You don’t need a bigger team. Answer yes or no to each, honestly.

01

Something answers straight away, everywhere

Website chat, phone, WhatsApp, Facebook and email. Wherever a message lands, it gets a useful reply, not a form that waits until Monday.

Nexi’s crew covers every channel, day and night, and always says it’s an AI.

02

The first reply has real information

Buyers want stock, delivery time and a rough idea of budget before they book a call. “Someone will call you back” doesn’t stop them trying the next supplier.

Nexi answers from what you’ve taught it, and never makes up prices or specs.

03

Every message is logged, not just the urgent ones

A CRM only helps if everything goes into it the moment it happens. Otherwise you’re trusting memory on a busy Friday.

Every chat, call and message is saved to your CRM automatically.

04

A clear handover, with the details already gathered

The goal isn’t “the AI closed the sale”. It’s your salesperson picking up a conversation that’s already going, ready to talk about the job.

Nexi passes each customer to the right person, fully briefed.

Check where you stand

Three tests you can do this weekend.

Before you spend money on anything, see what your customers see. Tick each one off as you do it.

If the answer was “it sat there until Monday” or “someone will call back”, that gap may be costing you sales. Not your product, your price or your team.

Free Leaking Leads Check

Find out where your messages leak before the quote.

A free 20-minute call. We look at where your messages come from, how fast they’re answered now, and where sales slip away, using your own numbers. There’s no set price, and if Nexi isn’t a fit we’ll tell you.

Examples on this page show how Nexi works. They are not real customer conversations. Research: Oldroyd, McElheran & Elkington, “The Short Life of Online Sales Leads”, Harvard Business Review, 2011.
